Guide for the library
Change your own name, phone or photo, add books to the catalogue, lend, renew and take back loans, look after reservations, and see your payslips.
Who this guide is for
You run the library. In the portal you keep the catalogue, lend books to students and take them back, look after reservations, and see your own payslips.
On a computer, your pages are under Library in the menu on the left. On a phone, they are tabs at the bottom of the screen, and the whole menu is under More.
Before you start
Open your institution's portal and sign in with the email address and password your institution gave you. Select Sign In.
You arrive on Today, with a link to each of your pages: Catalogue, Loans, Reservations and My Payslips.
If your institution sent you a link to set your password, open it, enter a New Password and Confirm Password, then select Set Password. If you have forgotten your password, select Contact your institution under the sign-in form.
To sign out on a computer, open the menu with your name or picture at the top right and select Sign out. On a phone, sign out from More.
Use it on your phone
The portal works in your phone's browser: open your institution's web address and sign in as on a computer.
Install it. The first time, the portal offers Install app so it opens from your home screen like any other app. On an iPhone, tap the Share button, then Add to Home Screen. Select Not now to skip it.
Tabs. At the bottom of the screen: Today, Catalogue, Loans and Payslips.
More. Tap More for Reservations and the rest of the menu, your Appearance (System, Light or Dark), your Language (English or Français) and Sign out.
Cards. The catalogue and the loans show each book or loan as a card, with its buttons on the card.
Search. Tap the magnifying glass at the top to find a student by name or matric number. Their record's Library tab lists what they have borrowed.
Change your own name, phone or photo
On a computer, open the menu with your initials (or your photo) at the top right and select My profile. On a phone, open More and select your name at the top.
Change your First name, Last name or Phone number, and select Save changes. The name and phone number on your staff account change with it, so colleagues and the staff list see the same name.
To add a photo, select Add a photo (or Change photo) and choose a JPEG, PNG or WebP image of up to 3 MB. Remove photo takes it off. If there is no photo button, photo uploads are not set up for your institution.
Your new name and photo show at the top of the page and in More straight away.
Your email address and password are how you sign in, so they are not changed on this page; Email and password says where to change them. If you sign in through the suite, Change password opens the suite's sign-in page, where you set a new one. If you sign in to this portal directly, ask your institution's administrator for a new sign-in link. To change the email address you sign in with, ask your institution's administrator.
Search the catalogue
Open Catalogue under Library (a tab on a phone). The page is headed Library Catalogue.
Type in Search title, author, ISBN… to find a book.
Each book shows its ISBN, title, authors, publisher, shelf location, and how many of its copies are on the shelf.
To add a book, select Add book. Enter the Title, and optionally the Author(s), separated by commas, ISBN, Publisher and Shelf, and the number of Copies. Select Add book.
Lend a book
On the book's row in the Library Catalogue, select Issue Loan.
Under Borrower, find the student by matric number or name, and choose them.
Select Lend to and the borrower's name. A copy on the shelf is lent, due back in 14 days. If the borrower had reserved the book, their reservation is closed.
Issue Loan is unavailable when no copy is on the shelf.
Take a book back, and renew a loan
Open Loans under Library (a tab on a phone). Choose On loan, Overdue, Returned or All.
Select Return when a book comes back. A book returned late has a fine recorded against the borrower, and the page says how much.
Select Renew to extend a loan by 14 days. A loan can be renewed three times, and not while another reader has reserved the book.
Look after reservations
Open Reservations under Library to see the books readers are waiting for, oldest first. Lending the book to the reader closes their reservation. Select Cancel to cancel one.
See your payslips
Open My Payslips under Payroll (the Payslips tab on a phone). Each month shows your net pay. Select Breakdown to see the basic pay, each allowance and deduction, and the gross and net.
Tips and common questions
A book I expected is not in the list. Search by its ISBN or part of its title. The search looks at title, author and ISBN.
Why do I not see the institution's figures? They belong to the administrators' roles. Your first page, Today, links to your own pages instead.
Why can I not renew a loan? It has been renewed three times already, or another reader is waiting for the book.
