Guide for students

Register your courses, ask to change your name, phone or photo, study your course content, join live sessions, submit assignments, sit exams online, follow your results and CGPA, pay your fees and request a transcript, on a computer or on your phone.

Who this guide is for

You are a student, studying online or on campus. Your portal holds your courses and your own record, the same one the registry works from: your course content, live sessions and assignments, your exams, your results and CGPA, your fees, your hostel place, your library loans and your transcript requests.

On a computer, everything is under My Studies in the menu on the left. On a phone, your most-used pages are tabs at the bottom of the screen and the rest are under More.

Before you start

  1. Open your institution's portal and sign in with the email address and password your institution gave you. Select Sign In.

  2. You arrive on My Dashboard.

Signing in

If your institution sent you a link to set your password, open it, enter a New Password and Confirm Password, then select Set Password. If you have forgotten your password, select Contact your institution under the sign-in form.

To sign out on a computer, open the menu with your name or picture at the top right and select Sign out. On a phone, sign out from More.

Use it on your phone

The portal works in your phone's browser: open your institution's web address and sign in as on a computer.

  • Install it. The first time, the portal offers Install app so it opens from your home screen like any other app. On an iPhone, tap the Share button, then Add to Home Screen. Select Not now to skip it. When a newer version is ready, select Reload on the note that says A new version is available.

  • Tabs. At the bottom of the screen: Today (your dashboard), Study (course content), Timetable (live sessions) and Assignments.

  • More. Tap More for every other page, your Appearance (System, Light or Dark), your Language (English or Français) and Sign out.

  • Search. Tap the magnifying glass at the top to find a course.

Some institutions also offer a student app from the phone's app store. If yours does, sign in to it with the same email address and password.

Change your name, phone or photo

Your name and photo are part of your student record, so what you change here is sent to the registry first. Your details stay as they are until somebody who manages student records approves them.

  1. On a computer, open the menu with your initials (or your photo) at the top right and select My profile. On a phone, open More and select your name at the top.

  2. Change your First name, Last name or Phone number, and select Send for approval.

  3. To send a new photo, select Add a photo (or Change photo) and choose a JPEG, PNG or WebP image of up to 3 MB. Remove photo asks for your photo to be taken off. If there is no photo button, photo uploads are not set up for your institution.

A Waiting for approval box then shows what you asked for, including the photo you sent. You can send changes again while you wait: they replace what is waiting. To take the request back, select Withdraw request.

When somebody has decided, the box says so. If your request was approved, your new details are on the page, and your new name and photo are on your student record too. Your parents' and guardians' phone numbers do not change. If it was not approved, your details are unchanged, and the box shows the reason if one was given: correct your details and send them again, or ask the registry.

Your email address and password are how you sign in, so they are not changed on this page; Email and password says where to change them. If you sign in through the suite, Change password opens the suite's sign-in page, where you set a new one. If you sign in to this portal directly, ask your institution's administrator for a new sign-in link. To change the email address you sign in with, ask your institution's administrator.

Your dashboard

My Dashboard (Today on a phone) shows:

  • My CGPA, with View Full History to see it semester by semester. Until your first results are published, it says you have no CGPA yet.

  • At an institution that grades on LMD, My standing instead: your average out of 20, your credits, this year's decision and your mention, with a link to your transcript of marks.

  • Shortcuts to My Results, Course Registration, My Fees, Hostel and Transcripts.

  • A reminder with Pay Now when you have an outstanding fee balance.

Register your courses

  1. Open Course Registration. It shows the current semester and the courses offered to your programme and level.

  2. Core courses are included for you, and so are any courses you failed and have not yet passed, under Courses to retake. Tick the electives you want.

  3. Keep your credit total within the minimum and maximum shown, then select Register courses and confirm with Register courses again.

Courses you have registered are marked Registered. You can come back and add an elective while registration is open; once it has closed, the page says so and the registry can change your courses. If registration is refused, the reason is shown — for example a prerequisite you have not yet passed.

Study your course content

  1. Open Course Content (the Study tab on a phone).

  2. Choose one of the courses you are registered for this semester. Its modules and units are listed, with Your progress at the top. Progress counts required items only; an item marked Optional does not count.

  3. Select an item to open it: a video, a reading, a file, a link, an assignment or a quiz.

  4. A video counts as complete once you have watched most of it. For anything else, select Mark as complete when you have finished it. Select Back to the course to return to the outline.

New material appears as your lecturers release it. Only courses you are registered for are listed; register first if a course is missing.

Read your course materials

Your lecturers post slides, readings, videos and links for a course, filed by week.

  1. Open Course Materials.

  2. Choose one of the courses you are registered for this semester. Its materials are listed in week order, with their type (PDF, Video, Link or Note).

  3. Select the download icon on a material to open it in a new tab.

In the student app, open a course under Study and select Course materials above its modules.

Join a live session

  1. Open Live Sessions (the Timetable tab on a phone). It lists the sessions scheduled for your registered courses this semester, with the course, the time in your own time zone and the facilitator.

  2. When a session is Live now or Upcoming, select Join now or Join link. The meeting opens in a new tab, and the portal records that you attended: the session is then marked Attended.

  3. After a session, select Watch recording when your facilitator has added one.

A cancelled session shows the reason it was called off.

Submit an assignment

  1. Open Assignments (a tab on a phone) and choose the course. Each assignment shows its type, maximum score and due date. Use All, Open, Submitted and Closed to filter them.

  2. Select Submit on an open assignment. Type Your answer, or give a link to your file under File URL, and select Submit.

  3. Until your work is marked you can select Resubmit to replace it. Once it is marked, the assignment shows your mark and any feedback, and cannot be changed.

Sit an exam

  1. Open My Exams. The page is headed Exams. Each paper that is open to you shows its course, length, marks and closing time, and how many of its attempts you have used, for example Attempts used: 0 of 1.

  2. Select Start, or Continue if you left a sitting of this paper unfinished. Read the instructions, then answer each question. Your answers are saved as you go: if the page reloads, you change device or the connection drops, Continue carries on from what was saved, with the questions in the same order.

  3. The time remaining is shown at the top. When you have finished, select Submit, then Submit again to confirm. Select Keep working to go back instead.

A paper only appears while it is open, and only for courses you are registered for. Once you have used all the attempts it allows, it shows No attempts left. Your lecturer may give each student the questions, and their choices, in a different order.

Your result comes out when your lecturer releases the paper, after every script is marked. A question you leave blank scores 0.

Check your attendance

You need 75% on each course to sit its exam. Open My attendance to see where you stand on each course you are registered for this semester.

  • Studying online, your figure is the average of three parts: the Course content you have completed, the TMAs and assignments handed in (TMA papers and course assignments alike, on time or late) and the Sessions attended (live sessions you joined, and the days of the course's compulsory in-person events you were marked at). Each part shows how many you have done out of how many were due.

  • Only what is due so far counts: content not yet released, a TMA or assignment whose deadline has not passed and a session still to come do not lower your figure. A part with nothing due yet shows Nothing due yet and is left out.

  • On campus, your figure is the share of recorded lectures you attended.

A course below 75% is marked Below 75%. If it is still below when the registry checks attendance, you are barred from that course's exam and the course shows Barred from the exam. If something kept you away, ask the registry to review it: they can lift a bar with a written reason, and the course then shows Bar lifted by the registry.

Check your results and CGPA

  1. Open My Results.

  2. Choose a Semester. You see its Semester GPA, Cumulative GPA, Credits registered and Credits earned, then each course with its score, grade and points. On a phone, each course is a card.

Results appear once your department publishes each semester. Until then the page says so.

Open My CGPA for your cumulative figure, the credits you have earned and your semester history. A semester appears there once all of its results are published.

If your institution grades on LMD

Some institutions grade on LMD (Licence–Master–Doctorat). There, My Results is your transcript of marks (relevé de notes) instead of grades and a CGPA:

  • At the top: your Average out of 20, your Credits acquired and your Mention once your programme is complete.

  • Each academic year shows its average, the credits you hold for it and the decision: Year validated, Conditional progression, Repeat the year or In progress, with its mention.

  • Each semester lists its teaching units with their credits, average and result (Validated, Compensated, Kept from before or Not validated), and under each unit its courses with their coefficient and mark out of 20. A course marked Resit due can be taken in the resit session; after it, the course shows both marks.

  • A teaching unit you have not validated is listed under the year as one to take again.

Select Print for a copy. If your institution switched to LMD after you started, select Show earlier results (GPA) for the semesters before. On a phone each teaching unit is a card.

Pay your fees

  1. Open My Fees. It shows your Total outstanding and each invoice with its total, the amount paid and the balance.

  2. On an invoice with a balance, select Pay Now.

  3. Choose how you want to pay and select Continue. You are either sent on to the payment provider with Continue to payment, or shown an account number to transfer to. Follow the instructions shown.

Select Invoice PDF on an invoice to Download PDF, Print it, Share on WhatsApp or Email it, for example to your guardian. Select Payment History on My Fees to see the payments made, and Back to My Fees to return.

Your own account for fees

Where your institution takes fees by bank transfer through 9PSB, you have an account number of your own for fees. It is the same every time and does not expire, so you can save it in your bank app.

  1. Open My Fees. When you have fees to pay this way, Your fees account shows the Account number, the Bank and the Account name, with what is Still owed.

  2. Transfer any amount to it, from any bank app, whenever you like. You can pay in instalments. Money is applied to your oldest unpaid fees first.

  3. After you transfer, select I have paid, check now. The page says how much has been applied, or that nothing has arrived yet. Transfers can take a few minutes, and the money is applied anyway once it arrives.

  4. Money that arrives when nothing is owed waits, and is applied to your next fees.

Pay Now with 9PSB bank transfer shows the same account, with this invoice's balance.

Apply for a hostel bed

  1. Open Hostel Application. The page is headed Hostel.

  2. Under Apply for a bed, optionally choose a Preferred hall and a Preferred room type, and tell the hostel office anything it should know, such as a medical need.

  3. Select Submit application.

The page then shows Your application and its status. If you are on the waitlist, it shows your place on it. Once you are given a bed, it shows your hall, room and bed.

Request a transcript

  1. Open My Transcripts.

  2. Under Request a Transcript, enter the Purpose and choose the Delivery Type: Electronic (PDF) or Physical (Courier). For a physical copy, enter the Delivery Address.

  3. Select Submit.

Your requests are listed under My Requests with their status. When an electronic transcript is ready, select Download.

Requesting a transcript

Your library loans

Open My Library Loans to see the books you have on loan, their due dates, and any outstanding fines, which you pay at the library desk. Overdue loans are marked Overdue.

  • Select Renew to keep a book 14 days longer. A loan can be renewed three times, and not while another reader is waiting for the book.

  • Under Reserve a book, search for a book and select Reserve. The library lends it to you when a copy is free. Your reservations are listed under Waiting for, with Cancel.

Your study centre

If your institution has study centres, My study centre shows the centre you belong to: where you go for tutorials and to sit your exams. It shows the address, phone, email, coordinators and venues.

To ask to move to another centre:

  1. Open My study centre.

  2. Under Ask to move, choose the Centre and say Why do you want to move?, then select Send request. A centre marked (full) may still say yes, but it is less likely.

  3. The registry decides. You get a notification and an email with their answer, and the change shows on the page.

While a request is waiting it shows under Your request to move; select Withdraw request to cancel it. You can have one request at a time.

In-person events

Tutorials, practicals, orientation days and residency weeks you are expected at are on In-person events, next to My study centre. Your next ones also show on Live Sessions.

  • Each event shows when it is, the venue, the centre and its address, and whether it is Compulsory or Optional.

  • For an optional event, select I'm coming or Not coming before it starts. It helps the centre plan the room.

  • You get a notification and an email before each event (usually 48 hours before), and another if it is cancelled. A cancelled event stays on the page with the reason.

  • After an event, Your register shows how you were marked on each day.

Exam slips

When your exam sittings are published you get a notification and an email, and the paper appears on Exam slips, next to In-person events.

  • Each slip shows the paper, the date and time (WAT), the centre and its address, your venue and your seat number.

  • Select Download slip to print it. Bring it with your student ID card, and arrive at least 30 minutes early.

  • If your seat, venue or time changes, or your seat is withdrawn, you are told again.

  • A paper sat on a computer opens 30 minutes before your sitting starts. When you open it, enter the six-digit code your invigilator reads out. After too many wrong codes, ask the invigilator for a new one.

Your wallet

My Wallet appears in your menu only where your institution runs a student wallet. Where it does, open My Wallet and follow the steps on screen. Where it does not, there is no My Wallet, and an old link to it says the wallet is not offered, with Back to my dashboard.

In My Wallet, select Statement for the wallet as the bank records it: the last 90 days, or pick a From and To date (a year at most). Each line shows the date, what it was, the money in (+) or out (−) and the Balance after it.

Tips and common questions

  • My results are not showing. Results appear only after your department publishes them for the semester.

  • A course is missing from Course Content or Live Sessions. Only courses you are registered for this semester are shown. Check Course Registration.

  • I paid but the invoice still shows a balance. Payments can take a little time to be confirmed. Refresh the page later, and contact the bursary if it does not change.

  • An employer wants to check my transcript. They can use Verify a transcript on your institution's public website, with the reference printed on the transcript.

For help with the portal, contact your institution: the registry for your record and registration, your lecturers for your courses, the bursary for fees. The portal has no support chat or ticket desk of its own.
